Part-Time ADMINISTRATIVE ASSISTANT

We're looking for a highly motivated and quick-thinking professional to join our dynamic team in an entry-level Administrative Assistant role. Key Responsibilities
Customer Service & Communication:
• Greet guests in an upbeat and courteous manner, both in-person and over the phone
• Answer phones promptly and transfer calls to the appropriate team members
• Conduct outbound phone calls to notify clients of upcoming events such as car shows and social nights
• Handle inbound and outbound email contact with prospective clients and current clients
• Maintain excellent customer relationships throughout the restoration process
Client Management & Tracking:
• Track comprehensive client contact records, including inbound inquiries, estimates, scheduling, and current client status
• Maintain organized client databases
• Follow up on estimates and coordinate scheduling for restoration projects
• Ensure seamless communication between clients and restoration team
Administrative Operations:
• Scan physical documents to convert to electronic format for efficient record keeping
• Organize and maintain both physical and electronic filing systems
• Complete miscellaneous paperwork as requested by management
• Support daily administrative functions to ensure smooth office operations
Digital Marketing & Social Media:
• Create and manage social media postings to showcase restoration projects and company events
• Assist with digital marketing efforts to promote services and engage with the restoration community on our social channels
• Help coordinate and promote car shows and social events for clients
General Office Support:
• Perform various administrative tasks to support the restoration team
• Assist with project coordination and timeline management
• Handle office supplies and maintain an organized work environment
Qualifications

To succeed in this role, the ideal candidate will have the following qualifications:

High School Diploma or equivalent required

2 years of experience in the automotive industry

2 years of customer service experience

Proficient in MS Office software and Google Workspace
-
Familiarity with CRM software
-
Excellent professional written communication
-
Excellent phone skills
-
Excellent verbal communication skills
-
Excellent organizational skills
-
Regular, predictable, full attendance is an essential function of the job

Must be able to lift at least 40lbs repetitiously

Must have a professional appearance and demeanor

Ability to multitask in a fast-paced environment
